Building a Better Future website 

Activity requests are scheduled in the following order:

• School sponsored, Community Education, elections, caucuses
• District fundraisers, Governmental usage--including municipal parks and recreation activities and municipally-affiliated athletic associations and youth groups.
• Civic, non-profit, charitable, and community groups--including school staff recreation and faith community services, also includes neighborhood groups - including homeowners' groups and faith community groups.
• Commercial groups including but not limited to dance recitals and college courses

Facility usage is offered on a rental basis. Rental rates for space and equipment are available upon request.

Age of Participants

• If youth, one adult for every 20 students.

• If adult, additional building supervisor or security may be required depending on event specific details.

Length of Event

• The total event can be no longer than three consecutive days with no group hosting multiple consecutive day events in one week. NOTE: this for special events only. Camps/clinics are not considered special events.

200 or more participants 

• Request should be submitted at least 90 days ahead of event start date. 

• 90% deposit, signed facilities use agreement, any food service license and certificates, and certificate of insurance are required at least 30 days prior to the event.

• Final event timeline details are due two weeks before event date.

• All remaining event details due one week before event date.

Fewer than 200 participants

• Request should be submitted at least 30 days ahead of event start date. 

• 90% deposit, signed facilities use agreement and certificate of insurance are required at least 14 days prior to the event.

Security

• May be required depending on event specific details at the expense of the permit holder (i.e. number of attendees, bag check, monitor restricted areas, crowd control). 

Use Times

1. Event Setup Time: 5:30 a.m.
2. Event Start Time: 7 a.m.
3. Event End Time: 9 p.m.* or 10 p.m. 
   *If adult attendees: must end by 10 p.m.
   *If youth attendees: must end by  9 p.m. or 10 p.m. in accordance with city curfew. 
4. Event Clean-up Time: If needed, must be completed by 10 p.m.* or 11 p.m.
   If adult attendees: teardown completed by 11 p.m. 
   *If youth attendees: teardown completed by 10 p.m. or 11 p.m. in accordance with city curfew. 

Food

• Permit holder[s] are required to follow all food safety health laws set by the state, county and local health departments.
• If there is food being served, it must be provide by a licensed caterer or by completing the itinerant license process.
• Potlucks are not allowed for community/non-district events. 
• Food trucks must have current licensure within the city that the event is taking place in.
• Concession stand use: Requires pre-approval by Facility Scheduling.

Food may be served in District schools under the following regulations:

• Food and beverages must be served in the cafeteria or other approved locations within the school buildings.
• A Food Service employee must be on duty when the kitchen facilities are used.
• While potluck meals are generally discouraged in district facilities, anyone wishing to have potluck meals must adhere to laws and regulations established by state and local health departments. (see below)
• Dinners and banquets may be catered through the District catering service or by an outside catering service.
• The District Director of Food Service must approve any requests for food service. Food service requests must be submitted to the Director of Food Service a minimum of three weeks in advance of the event.

After the permit request has been processed a permit and permit number will be issued to the requestor.  If the permit holder would like to make changes to the existing permit, please contact us at communityeducationfac@district279.org or by phone at 763-391-7121 or 763-391-7123.

After the requested changes are made by the Facilities Scheduler, an email will be sent with the revised facility request. If any of the requested changes can not be accommodated, a note will be placed on the permit, and/or the denied dates to be changed will be listed.
